Responsible AI Principles

Codifies the organization's commitment to developing, deploying, and operating AI systems that are fair, transparent, accountable, and safe.

1. Purpose

This document establishes the foundational principles that guide all AI activities at [Organization Name]. These principles set the ethical floor for how we build, buy, and operate AI. Every AI policy, procedure, and governance decision in the organization must be consistent with these principles.

We publish these principles as a statement of public accountability. They reflect our values and our commitment to the communities, customers, and employees affected by our AI systems.

2. Scope

These principles apply to:

  • All AI systems regardless of risk classification (high, medium, or low).
  • All employees, contractors, and partners involved in AI activities.
  • All stages of the AI lifecycle, from ideation through retirement.
  • Both internally developed systems and third-party AI procured or integrated.

3. Our principles

3.1 Fairness and non-discrimination

AI systems must not produce outcomes that unfairly discriminate against individuals or groups based on protected characteristics such as race, gender, age, disability, religion, or socioeconomic status.

We commit to:

  • Testing for bias before deployment using appropriate statistical methods and representative evaluation datasets.
  • Using training data that is representative, balanced, and reviewed for historical biases that could be amplified by the model.
  • Documenting known limitations, potential disparate impacts, and the demographic groups assessed.
  • Providing mechanisms for individuals to challenge AI-driven decisions that affect them, in line with GDPR Article 22 (right not to be subject to solely automated decision-making).
  • Re-evaluating fairness periodically after deployment, not only at launch.

3.2 Transparency and explainability

People who interact with or are affected by our AI systems have a right to understand how those systems work and what role AI plays in decisions that concern them.

We commit to:

  • Disclosing when AI is being used in interactions with individuals, as required by EU AI Act Article 50.
  • Providing explanations of AI-driven decisions at a level appropriate to the audience and the stakes involved.
  • Maintaining model cards, data sheets, and system documentation that describe capabilities, limitations, and known failure modes.
  • Making governance records available for internal and external audit.
  • Clearly communicating the confidence level and limitations of AI outputs to end users.

3.3 Accountability and human oversight

AI does not absolve people of responsibility. Every AI system must have a named owner, and humans must retain meaningful control over decisions that materially affect individuals or the organization.

We commit to:

  • Assigning a model owner to every AI system who is accountable for its behavior throughout its lifecycle.
  • Requiring human review for high-risk decisions before they take effect, as required by EU AI Act Article 14.
  • Maintaining the ability to override, correct, or shut down AI systems at any time.
  • Establishing clear escalation paths when AI systems behave unexpectedly.
  • Recording governance decisions with rationale so they can be reconstructed after the fact.

3.4 Privacy and data protection

AI systems must respect the privacy of individuals and comply with applicable data protection laws. Data used to train, fine-tune, or operate AI must be collected, processed, and stored lawfully.

We commit to:

  • Collecting only the data necessary for the stated purpose (data minimization).
  • Obtaining appropriate consent or establishing a lawful basis before processing personal data.
  • Documenting the provenance, licensing, and retention period of all training and evaluation data.
  • Applying encryption, access controls, and anonymization where appropriate.
  • Conducting data protection impact assessments for AI systems that process personal data at scale.
  • Respecting individuals' rights to access, correct, and delete their data as used by AI systems.

3.5 Safety, security, and robustness

AI systems must be reliable under normal conditions and resilient under adversarial or unexpected conditions. Security must be considered throughout the AI lifecycle, not added after deployment.

We commit to:

  • Testing for adversarial inputs, prompt injection, and failure modes before deployment.
  • Securing the AI supply chain: models, libraries, data pipelines, and infrastructure.
  • Monitoring for performance degradation, drift, and safety failures in production.
  • Maintaining incident response plans that cover AI-specific failure scenarios.
  • Designing fallback mechanisms so that essential processes can continue when AI systems fail.

3.6 Data quality and governance

The quality of AI outputs depends on the quality of the data that feeds them. Poor data governance creates compounding risks across fairness, privacy, and safety.

We commit to:

  • Establishing data quality standards for all AI training, validation, and production data.
  • Documenting data lineage so that the origin, transformations, and dependencies of each dataset are traceable.
  • Screening datasets for bias, representativeness, and regulatory compliance before use.
  • Assigning data owners who are accountable for the quality and compliance of their datasets.

3.7 Sustainability

The environmental impact of AI must be considered in design and operational decisions. Efficiency is part of responsibility.

We commit to:

  • Evaluating the computational cost and carbon impact of training and inference.
  • Preferring efficient architectures, caching, and fine-tuning over redundant retraining.
  • Tracking and reporting AI-related resource consumption.

4. Applying these principles

4.1 In governance decisions

The AI Governance Committee uses these principles as the basis for approving or rejecting AI use cases, setting risk thresholds, and resolving escalations.

4.2 In development and testing

Engineering and data science teams reference these principles during design reviews, data selection, model validation, and testing. Algorithm design must include bias testing, fairness metrics, and adversarial evaluation as standard protocol, not optional additions.

4.3 In procurement

Third-party AI vendors are evaluated against these principles. Vendor risk assessments include questions about fairness testing, transparency capabilities, data handling practices, and incident response readiness.

4.4 In monitoring

Post-deployment monitoring evaluates whether deployed systems continue to operate in accordance with these principles. Drift in fairness metrics, bias shifts, and safety incidents trigger re-evaluation and potential suspension.

5. Continuous learning

AI technology, regulation, and societal expectations evolve rapidly. We commit to:

  • Monitoring emerging risks, regulatory changes, and industry best practices.
  • Updating these principles when new risks or obligations are identified.
  • Sharing lessons learned from incidents, near-misses, and audit findings across the organization.
  • Investing in ongoing training so that all employees understand their role in responsible AI.

6. Regulatory alignment

These principles are aligned with:

  • EU AI Act: Transparency (Art. 13), human oversight (Art. 14), accuracy/robustness (Art. 15), non-discrimination (Art. 10), user notification (Art. 50).
  • GDPR: Automated decision-making (Art. 22), data protection by design (Art. 25), data protection impact assessments (Art. 35).
  • ISO/IEC 42001: Leadership commitment (Clause 5), risk treatment (Clause 8), interested parties (Clause 4.2).
  • NIST AI RMF: Govern (GV), Map (MP), Measure (MS), Manage (MG) functions.
  • OECD AI Principles: Inclusive growth, human-centered values, transparency, robustness, accountability.

7. Exceptions

These principles do not have exceptions. If an AI system cannot be operated in accordance with these principles, it must not be deployed. Where tension exists between principles (e.g., transparency vs. security), the AI Governance Committee determines the appropriate balance for that specific context, and the rationale is documented.

8. Review

These principles are reviewed annually or when triggered by material changes in regulatory requirements, organizational strategy, or lessons learned from AI incidents. Updates require AI Governance Committee approval.
